Job Description
TITLE: National Office Administrator, Youth 2000 National Office, Dublin 2
REPORTS TO: National Leader, Youth 2000
JOB PURPOSE:
Manage all National Office activities, central hub for enquiries about Youth 2000
To assist the National Leader, National Treasurer and National Secretary
Help co-ordinate the organising of the two National Retreats
PRINCIPAL ROLES:
OFFICE ADMINISTRATOR, EVENTS ORGANISER, YOUTH 2000 REPRESENTATIVE
Daily office duties:
Running of National Office
Liaising with queries from public, National Council, volunteers, external groups
Daily contact with National Leader / Weekly meeting with National Leader
Visitors meet and greet
Finance:
Daily contact with National Treasurer
Managing online banking, lodgements, petty cash, invoice payment
Record and respond to donations received
National Retreats:
Initial planning and meetings
Liaising with various functional teams
Help manage preparations through plan of work
Coordination of mail outs
Sourcing and coordinating accommodation for VIPs and volunteers
Attending National retreats
Database:
Maintaining database
Input registration forms from all retreats both national and regional
Graphic Design:
Design of annual Bookmarks
Newsletter, posters, brochures, calendars – assist with content and editing
Liaising with print shop on quantities, quality and delivery
National Council:
Attend National Council meetings
Communicate and support National Council members country-wide
Coaching and help foster growth of new leaders, prayer group leaders
Organise the national convention annually
Organise venue and invites for annual leaders retreat
Website and IT :
Knowledge of computer networking in the office
Liaising with IT Officer on website
Compile & issue bi-Monthly e-vents bulletin
Representing Y2K:
Corresponding with Youth 2000 International as directed by National Leader
Networking with other groups
Youth 2000 representative
Child Protection:
Knowledge of Youth 2000’s Child Protection policy
Assist Youth 2000 Child Protection officers in deploying policy
Annual Ball:
Assist local Ball organiser with planning and facilitate ticket selling
Pilgrimages:
Help organise World Youth Day pilgrimage, includes helping with promotion,
preparation days, managing bookings, pilgrim inquiries and registration
Attend World Youth Day pilgrimage
JOB REQUIREMENTS:
1. Knowledge and understanding of the Catholic Church and a commitment to the ethos,
charism and objectives of Youth 2000
2. Comfortable with a team work approach yet ability to work on own initiative
3. Strong interpersonal skills
4. Excellent organisational and IT skills
5. Relevant skills for engaging with volunteers
6. Able to help & support weekend projects/initiatives
